Board Meeting Minutes

January 27th, 2019

In attendance: Tommy, Dan, Lucas, Josh Coppola, Austin, John, Andrew S, Jason, Josh Hyde, Lloyd

  • Appointed positions will have to meet with board every month to discuss what they have done that month, on the first board meeting of the month that is not followed by a floor meeting
  • Kitchen goddess: Aaron; Lab lord: Jason and Ethan (put paper in the printers pls); Sysadmin: Josh Cohen, Lloyd; Flyboy: Isabel; Hall council rep: Isabel; Paparazzi: Alex, Sifan; King of games position has been removed
  • Will start requesting participation point nicknames soon
  • Discussing participation point limit for this semester
    • Last semester was average of 25, median 28 (Lucas & Andrew)
    • Trial run of contribution points (Josh C)
    • Track points but not expect a number (Dan)
    • Could set a number at the beginning but not have consequences (Josh C)
    • Decision: announce that it will be tracked but not have a subquota (Tommy)
  • Dues could stay at $25, though with inflation from past $20 dues should be about $30 today (Austin); could consider increasing them next semester but we have enough money now
    • Dues and participation point nicknames due the floor meeting after they’re announced
    • Next floor meeting Feb 3; things due Feb 17 (Tommy)
    • Sterritt has insisted on paying his dues right now
  • Budget: tech is waiting to hear from IT before allocating budget; budget is due the first board meeting after the second floor meeting
    • Expected to hear from IT by Feb 8 (Josh C & Austin)
    • About $400-500 from last semester still able to be used for tech (Andrew)
    • $150 approved for whatever tech director sees fit; likely cameras (Josh C)
    • Allocate normal tech budget for this semester on top of rollover (Josh C)
    • Estimated $300 for tech budget (Josh C & Austin)
  • Tech seminar coming up on Feb 9 (Tommy); room has been confirmed Douglass 403
    • Unix command line; 3-4 pm, Douglass 403 for poster
    • Weekend highlights blurb should be written (reference old one)
  • Tech updates from meeting with IT person:
    • He seems responsive to helping and wants to provide a lot; list of requests are a work in progress (Josh C)
    • New mail server is being migrated to gmail, but this could still change again
  • Website is still being updated, attempting to change constitution on the site (Austin)
    • Quotes being accepted for the website (appropriate only please): https://goo.gl/forms/IsvgdpdE8YkbSpjC3 PLEASE SUBMIT THINGS
    • Once things are updated, everyone will have to make a new lab account (Austin)
    • Could put up a poster on the lab door asking people to make new lab accounts (Austin); put up in advance so people are fully aware
  • Could do a google form survey on how people use the lab (Austin)
    • Could put it in the suggestion box instead; will be making that soon
  • Going to ask for opinions on constitution stuff: housing blocks and nauticock award (Josh C)
    • Contribution points should also be brought up (John) – after floor meeting
    • Fully explain the purpose of every change to the constitution, even minor ones
  • Email should be sent to member applicants soon to arrange an interview (Tommy)
  • Poll to floor asking who plans to stay goes out around mid- to late February (John)
  • Going to get membership verification packet on Feb 13, due March 1 (Tommy)
    • Should poll floor before Feb 13 then (John)
  • On this coming Friday (Feb 1) around 6pm, Austin will be giving a talk on Docker and containers (software stuff); anyone interested can attend, recommended for CS majors
    • Not going to make posters (Austin), will have sign-in sheet
  • Suggested workshop on how to build a computer (Josh C)
    • Should plan this several weeks in advance (John)
    • Not necessarily this semester, so we have time to get hardware (Josh C)
    • Should advertise heavily because many people will be interested (Dan)
    • Could make event right around housing time to draw people in (Josh C)
    • Feb 17-23 tentative SIH weekend (Tommy); probably won’t be able to make this event before SIH weekend as preferred/planned
  • Game night: SIH game night theme; Feb 23; posters should start being made
    • Meet CIF before it; 7:30 pm before game night (which is at 8)
  • Could move tech seminar to be closer to SIH weekend but it might be difficult
    • Will have to change room reservation (John)
    • Austin and Lloyd are fine with changing the time, the room will be the main difficulty
    • Since it is still early it could be easier than expected to move the room reservation
    • Will be moved to Feb 16
  • Should schedule movie nights (Andrew)
  • Constitution art showcase will be on Sat, March 2 around 2 pm (Dan); held in the lab
    • Will include a dramatic reading and interpretive art, people are welcome to join in
  • Projected group bonding-type event early in the semester similar to Don’t Freeze (Tommy)
    • Board game design game jam (Jason); video game design prof could help (Lucas)
    • Scratchathon/hackathon (Josh C); will be entertaining; RocHacks could cosponsor (Austin) but will need to discuss dates
    • Mid-Feb is already pretty packed (Tommy); suggested after spring break around Wed or Thurs (Dan)
    • Could have a more generic, less niche event planned as well (Austin)
    • Talk to data science and CS council (John)
    • Planning movie night/s (Tommy); more general bonding event separately (Dan)
    • In the past we held a party thing in the rec room under Wilder (John)
    • Big jackbox event (Josh H); would need multiple games going on (Dan)
    • Could hold this simultaneously with firepit event (Dan & John)
    • Scratchathon could be later in the semester (Josh C), not as a study break
    • Could contact WIC/Women in Computing for hackathon related things (Austin)
    • AIF, URSGA, Kendo interested in co-sponsoring a game night (Tommy)

The Constitution has been ratified. Co-Presidency is now official and associates no longer exist.

They are due on 03/18. All full members must pay $25 in dues.

November 13th, 2022

Upcoming Events:

  • CIFGiving (11/19): We need more people to bring food/related items, and are giving out points per item brought!
  • SIH Winterfest (Dec 4): We will need people to table/present, and of course, simply show up
  • CIF-Greenspace Collab (11/18, 3:30-5): Please show up if you are at all interested in sustainable technology (there will also be a CS related talk)!

Upcoming Events:

  • Tech Seminar coming up on the 12th, will be on LaTeX  (time/location TBD)

  • CIFGiving coming up later on (please fill out the RSVP form), and volunteer to bring things

Election/Nominations

  • Positions up for nominations include Co-Presidents (one person can nominate themselves although 2 are encouraged), Logistics, Junior Tech Director, and Secretary-Treasurer
  • Elections will be happening on the 13th (the next floor meeting)
  • Even if you are not running, it’s important to attend
  • Nominees will have to pass an easy constitution quiz (probably open book) if they are elected
  • New officers will have the support of previous board members with many years of experience (called Shadowboard)
  • If you want to nominate yourself, please reach out to Board and notify Sarah if possible so you can be added to the list of candidates
  • Currently, there are no nominees for Presidents

    • He can complain and will complain to make CIF better
    • Will ask for little screwdrivers and textbooks that are not older than himself
    • Textbook to classes CIF members are taking
    • If a printer breaks down, Cole will have the tech directors fix it
    • Cole thinks windmills are good, all the best kind, the ones that are giants
    • Cole will fistfight a windmill at Waffle House

      • 4 classes, most free on Monday, Weds., Fridays and most of the weekend

    • Dan suggests adding the option for board to mediate a mutually agreed on community standards agreement without a disciplinary hearing involved.
