  • Recap
    • Don’t Freeze Together 12/03
      • Turn out was surprisingly good, we had a fairly large number of people present, including members of AIF and MIF
      • This will be something to repeat again next year
    • Tech Seminar 12/04
      • Really good attendance (we had 15 people turn up!)
      • Made contact with CHS (CIF for RIT)
        • They have indicated interest with collaborating with us for future events, so we will be reaching out with them next semester for that
      • Otherwise, nothing to really note save that we need to make it clear that people need to bring questions for us to answer in the future; this should really be a Q&A more than anything else
      • It was a lot of helping people with projects
    • Game Night 12/04
      • We now know to expect a low turnout for game nights on the week before finals week; attendance was very low compared to the rest of the semester
      • Accordingly, it may make sense to run very low commitment events around finals if we do decide to do so, if the goal is to provide additional point opportunities
    • Semesterly Recap
      • Tech Seminars
        • First half of the semester started rough attendance wise
          • We need to revisit advertising methods and what we’re covering
          • With that regard, we should be tying our tech seminars with in-class announcements which are relevant
        • Second half of the semester generally went better attendance wise
      • Game Nights
        • Generally speaking, we had attendance increasing over each game night, with the exception of the December 4th game night (which was previously covered)
        • There wasn’t really a whole lot we could do to increase attendance, it would appear that our hands are generally tied by the university’s guidelines and institutional memory (like we’ll get more numbers over time due to us simply continuing to build up a core group of people attending again)
      • CIFX Talks
        • We need to revisit this, as people are mostly doing them just for points and not really showing up
        • It may make sense to do this instead a once-a-month basis, or to have them on same day as floor meetings; just something for the next board to consider
  • Tech Updates
    • Craig will try to work on the backup server after Wednesday
  • Participation Points
    • If you’re at 18pts or above, we have created a waive line
  • Housing
    • Ryan will be posting to everyone to see who (if anyone) will not be living floor next semester
    • If so, then he will be filling out a form for Reslife

  • CIFsgiving
    • There was an issue where people were made unaware of when and where we were doing the CIFsgiving. Accordingly, this must be adjusted in the future with additional notifications with both the time and location accordingly. This was also an issue in tandem with alums, so going to a system in which we sent out an email in the beginning of the semester and in addition, another one which will be sent out in like a month or so in advance (so as to ensure that they have sufficient time to prepare accordingly.)
      • As people graduate, the collection of effective emails will be an asset moving forwards (try not to get a UR email, as some people have theirs disabled.)
    • The cooking went relatively smoothly, like it was done in an orderly manner and the majority was done in a reasonable manner.
    • All and all, it went well.
  • Don’t Freeze Together
    • Casey will be reaching out to Danica and Julianne to reserve the fire pit for “Don’t Freeze Together.”
    • AIF will be cosponsoring with us, as well as MIF and Greenspace. We’ll be taking point with regards to reservations and the like.
  • Game Night
    • URSGA has agreed to advertise for our December 5th Game Night, though they will be unable to send members due to them having a mandatory event on at the same time.
  • Tech Seminar
    • We will need to reach out to Professor Pawlicki and Professor Purtee for advertising about this review session.
  • Elections
    • No new nominations have come in thus far.
    • They are in two weeks.
  • Tech Updates
    • Josh made the wiki for the server
    • Lloyd made progress on getting a new card reader for the Lab
  • Responsibilities
    • Ryan – Reservations for the Game Night, Tech Seminar, and CCC
    • Craig – Prepare for the Tech Seminar, and migrating the servers
    • Josh – Help with tech if possible

      • Not much happened there
      • Attendance was pretty low, which was unsurprising given the lack of lab and the general nature of them
    • Game Night
      • Attendance was good
      • Game night ran until midnight
    • URSGA Game Night
      • Their president will be bringing it up at their board meeting
      • Ryan will inform us of any updates
  • Flyers for the Tech Seminar and the Game Night
    • Casey will handle these
  • Upcoming Tech Seminar
    • This will be a review of CS171 and CS172 in preparation for finals week
    • We will be reaching out to others to see who else will be able to assist there

    • Ryan and Casey will be reaching out to the SIHs to join us for this

    • We will not be hosting any events over reading week, though should anyone want to do an event on floor, board will be assisting with the planning for that

    • Josh created a sign-up sheet for those who will be cooking for the CIFsgiving event
    • We will be bringing up at the floor meeting about a sign-up sheet to determine when people are cooking and plan accordingly

      • We will be bringing up at the floor meeting organizing who will be able to drive people to Wegmans to pick up supplies for the dinner

  • Recap of Events
    • Minecraft Night had very good attendance
      • At its peak for the 5th, we had about 10 people on at a given time
      • This included members from AIF and alumni
      • Not much to change
    • Tech Seminar
      • Significantly improved attendance, with 5 people there as opposed to the past two where attendance was nonexistent
      • Attendance was brought via verbal communication
      • It was mostly interaction, less focus on the slides; this improved the flow of the event, all around well received
      • Craig says it was the best tech seminar he’s given
    • Keegan has reached out to all individuals who we were concerned about for participation points
  • Tech Updates
    • Back up server coming soon to a theater near you
  • Email from Leadership Programs
    • A representative from the Presidents’ Council will be sitting in on the board meeting for the 14th
  • Night to Code
    • That will be this Wednesday, November 10th
  • Esports Smash Night
    • No planning for us required
    • On Friday, November 12th
  • Game Night November 13th
    • Posters will be printed tonight
    • Keegan will be poking the poster boys to get those out ASAP
      • They will be needed to go out 5 for Douglas/Wilco, 2 for mail center, 4 for Jackson court, 5 for tunnels, 4 for engineering quad
    • Ryan talked to the President of URSGA
      • Provided we give them two weeks’ notice, they are interested in a co-sponsorship
      • We will likely be doing it on December 4th ideally
      • Ryan will bring this up to their president, and will contact us when he receives word back

 

  • CIFsgiving
    • We have two weeks before that happens
    • CIFsgiving will operate as a potluck
      • Typically, we have an alum cooking the turkey, and from there some percentage of the membership provides food
      • Everyone must bring some sort of dish
        • We highly encourage people to cook it themselves
        • Stuff that can be made before it should be made before
        • 1pt for store bought food, 2pts for cooking food
      • Vote for an opt-in to sharing the food; the points will be unaffected by if you opt in or not (if you bring for yourself, you’re only allowed to eat your own food, but if you bring for everyone then you can eat from the potluck)

        • Further unanimous vote for it to be called “The Lloyd System”
      • We’ll be reaching out to AIF to allow us to use their kitchen here
      • Turkey
        • We will be reaching out to alumni about a turkey or to members about that

        • If an alum is coming and they don’t have a room to sleep in, then they should reach out to the suite that they live in before arriving

  • Night to Code had low numbers of attendance
      • We may need to ask people if they actually have any interest in future “Nights to Code”
      • Not running it out of the lab also may be hindering things a bit, though that can’t exactly be helped at all
  • Halloween Game Night
      • Game Night went reasonably well
      • Highest attendance of the year
      • Fliers went out in a timely manner
      • Information went out in the weekend highlights
      • It appears that attendance will likely rebound with time, as we are doing everything we can on this front
      • Though numbers are still down from pre-pandemic days, things are still better than expected on the attendance front
        • We should try to reach out to AIF and URSGA for future collaborations
        • Ryan will reach out to URSGA about what they would be interested in
      • Candy went fine, though that’s probably going to be the extent of food that will be present at events for the foreseeable future
  • Potential AIF Co-Sponsorship
      • That will not be happening, as there’s a conflict of scheduling between our two organizations
        • We will attempt to see of they would be willing to have one on a differing time than our usual Minecraft Nights
    • Tech Seminar
      • Keegan will print out the fliers for it
      • Lloyd and Craig will be making a presentation for it
      • Professor Loprocaro will be getting back to Josh tomorrow about whether or not they’d be fine with advertising for this one
      • We should also lean on our members more about this one
    • Participation Points
      • The mean is coming in at around 13pts

      • For those who are presently below 10 points, an email will be sent out

  • Meeting with Julianne
    • Casey said it was a nice meeting because Julianne is a legend!
    • Julianne will poke WCSA to figure out why they have issues with us and to prod facilities speed up the work on the lab
      • We think that WCSA would help SIHs with advertising, get us listed as a club for CCC, and allow us to be at the activities fair
    • Minecraft Night
      • We had decent attendance, though it limited to one suite
      • Casey recommends that we get an announcement out sooner than on the Discord to give people time accordingly to get here and participate
      • There will be one more on the 5th, and Ayiana from AIF requested to cosponsor it with us
        • Board voted unanimously, now we are pending their approval
        • Ryan will get us the answer as soon as he has it available
      • The server went off without an issue, no lag to report
      • We’ll ask AIF about flyers for the Minecraft Night
    • Tech Seminar
      • It went rather poorly, as there was no attendance
      • There appears to have been a light Dandyhacks, which may have contributed to the lack of attendance with the tech seminar
      • Moving forwards, we will need to advertise directly to professors, starting with the Tech Seminar on the 6th of November
        • This one will be dealing with internet privacy
        • A presentation will be readied within the next two weeks
        • Josh and Ryan will be taking lead on asking the professors, we will also poke the Discord about this
      • We will need flyers for the tech seminar; Casey will take point here
    • Halloween Game Night
      • We will have to get some decorations from the lab before Tuesday afternoon so that Casey has an idea for what to get from Party City
      • Casey will not be going insane with buying the decorations this time, though they intend on getting some cool decorations
      • We will have to account for food in our risk management plan for the Halloween Game Night, with the food being served being in all likelihood being candy or other wrapped foods

        • That will need to be announced for the Night to Code on Thursday

  • Game Jam
    • We got roughly 8 people
      • It was better than expected, all CIF members
    • No one had a finished game, though fully within expectation
    • All and all, it went well
    • There was interest in this becoming a semesterly event
      • Advertising must be better in the future
    • Advertisement
      • We have a poster design ready for the Halloween Game night on the 30th of October
        • Keegan will take care of the printing after the meeting
      • Keegan will become the go-between for handing the posters to the poster boys
      • Someone will need to email Dandyhacks to see if they’ll allow us to join on (as admittedly we were late with responding to them)
        • This will be done tonight
        • If we’re doing it in junction with Dandyhacks, we won’t have to worry about advertising; if we are unable to do so, then we will have to kick the tech seminar back a week
        • Pushing it back a week will require flyers
      • CCC
        • Ryan has put in an event request for CCC to approve our Halloween Game Night, which is awaiting approval
        • Starting this week, everything will be scheduled on CCC as well, save for CIFsgiving and CIFX Talks
      • Co-sponsorships
        • Vocal Point and OBOC have both offered a co-sponsorship for their respective events
        • We have an event going on for the Vocal Point event, so that will be impossible for us there
        • We will be bringing the OBOC event up to the floor at the floor meeting
        • Keegan will be the point of contact here, as he was the one that the emails initially were sent to
      • Night to Code
        • We will not be externally advertising this event, given that we will not be having access to the lab
        • Accordingly, there will be no advertising for this event

        • Josh and Casey will be discussing how things are going with Julianne, including events and the elevator

          • Paper Towels- who ever is able to a store with paper towels will take care of that (Josh may be going to the store, though if he’s unable to by Tuesday, Keegan will run to Hillside to get paper towels)
          • Printer- per Joe Pascarelli, we can’t get in on the University’s toner discount, but per Tony, they will see if they have a retired color printer floating around (odds are slim that one would work with Windows 10). If Tony finds something, we intend on paying for a color printer and also take the one that Tony offers; two printers are better than none (we’ve already voted on this in a prior week)

      • Was successful for the post-pandemic conditions, not to pre-pandemic levels
      • Will need to make flyers more accessible/lean on the fly boys to get this taken care of
        • They need to go up faster in any case

    • Tech Seminar
      • Flyers will have to go up immediately
      • Michael, the SIH advisor, can offer assistance in putting the flyers up

    • The Videogame Development club is in the process of changing their eboard, so it’s unknown when they will be able to offer collaboration

    • Late Nights still in existence, could be another option for collaboration, Ryan will reach out
  • Fire Training
    • There’s a fire training session on Friday at 3pm

    • Will circle back to it at the floor meeting if anyone else wants to do it
    • October 1st at 8pm is the expected date and time for the event
  • Tech Updates
    • The color printer is still being problematic
      • Lloyd and Josh attempted to take it apart, were unsuccessful thus far
      • They will look into YouTube videos to see if there’s anything else to be done to salvage it
      • If they are unsuccessful there, it will likely then be beyond salvaging
    • Facilities moved ahead on fixing the leak
      • It’s unclear about when they’ll move on fixing the outlet
      • In the near future (tomorrow,) we will be losing access to the lab. We must move immediately to clear out that which we need from the lab, post-floor meeting.
    • Constitution Protocols
      • We need to have 75% of all membership to pass the constitution
        • That’s roughly 21 people total
      • We will have to make ballots
      • If this fails, we will have to re-propose it as an amendment or alternatively we could leave it up to the present membership
        • This will be 66% membership as required, with a simple majority required
      • Start by going over everything, then procedural vote on how we’re voting on this, then finally vote on the constitution itself
      • Failure to reach quorum will likely mean that we revisit it in the Spring Semester

    • Esports- Emersyn is in touch with the esports board to possibly do a collaboration with the Super Smash Bros people
    • Other SIHs- We will continue to attempt to collaborate with other SIHs, though they appear to be something of a wild card with getting them over to Jackson Court
      • We actually have contact with Lillac this time around, they could be an option for collaboration pending on the strength of their membership and how active they are
    • Esports and SIHs
      • Emersyn proposed that we do a combined SIH and Esports Super Smash Bros tournament in November, will discuss in the future
      • It has been approved, will preferably be done on a Friday, Esports will take lead on this one
    • Wicmic- Unsure about the degree to which we have contacts there, if we don’t then we will have to reconnect with them for the CIFX talks and other events
    • Google Student Developers- We will be looking to possibly working with them, though nothing is certain yet
    • Video Game Developer Club- Still fairly uncertain about their numbers, they will be a group to keep an eye on for co-sponsorships
      • Game Jam could be an event that they could be perfect for co-sponsorship
    • Undergraduate History Council- UHC has agreed to co-sponsor a CIFX talk, possibly future cooperation in the future
    • Other SIHs- We will continue to attempt to collaborate with other SIHs, though they appear to be something of a wild card with getting them over to Jackson Court

    • This will be dependent on when we can have access to the lab, and if we can’t have access to the lab in the foreseeable future, we will be unable to

      • Programming: needs 2 programs for the fall, 2 for the spring

  • SIH tabling opportunity
    • We are not allowed to table at the activities fair–heck you WCSA!
    • One of the actual adults has suggested tabling in ResLife areas at the same time–this is a bad idea since it won’t get as many people–we could table before the fair instead
    • Alternatively, we can show up with a table and kind of go rogue since it’s outdoors and we have the space
      • Probably won’t chat with advisor about this, but will talk to other SIH groups
    • Conclusion: we need to table before (1-3 or 2-4) and/or nearby (whether in WilCo or outside)

  • Lab update
    • The card reader is offline thanks to a leak that shorted the card reader out
      • I cannot emphasize enough that this is not our fault

    • Facilities is working on this but to fix it there will be asbestos access issues in the meantime since it is a multi-floor issue

    • Servers are still running
    • As a result, we will be doing the following:
      • Removing printers so they are still accessible
      • Moving furniture and games into suites ASAP
      • Moving a few servers out so we can prepare them for after
    • This sucks, but it is out of our hands and facilities is at least making progress
