April 28th, 2019

In attendance: Board, Ethan, John, Isabel, Ian

  • RHA meeting recently: they are planning to get restructured (Tommy)
    • New proposal has SIHs in their own council with its own budget
    • New general assembly will be essentially replacing hall councils
    • Hall councils might have an issue with this since it dissolves them
  • Appointed position points:
    • Paparazzi: both have done fine, half point per month
    • Kitchen goddess: full point
    • Lab lords: no points for April
    • Sysadmins: half point for not doing much but that was what was assigned
      • Plan on restructuring this position before next semester
    • Flyboy: full point
    • Hall council rep: half point per month (no meetings and meetings ended)
  • Storage updates:
    • Tommy discussed what furniture can stay and what should move
    • Couches can stay, standard reslife furniture stays, most other things have to move
    • Lamps have to move but the matching chairs/tables in each suite will stay
    • Should be able to store things in the lab (might have to tape off a section?)
    • Just can’t store individuals’ items in the lab but CIF items are ok
  • Study break idea: just gather in the lab and study together (study hall?) (Tommy)
    • Could do it on floor with food out in the core and studying in suite lounges (Austin)
    • Contributing food would grant points so that’s a good opportunity
    • Thursday afternoon? 12 to roughly 5-6, could give point for attending
  • Tommy is going to millennium games to pick up a game or two using our budget
    • Sometime this week
  • Card reader is still not fixed
    • Power supply might have died and caused some other weird issues
    • Could try to restart everything at some point
  • Tech talks happening at 9 pm tonight
    • Josh: selecting parts for building a computer
    • Isabel: the math of the game Set
  • Printer purchase:
    • Toner is good and has been ordered
    • Paper was cancelled; try again maybe with different seller
  • Scratchathon:
    • Rochacks wanted to cosponsor (will have to plan over the summer)
    • Probably not at the beginning of the semester if we want the cosponsorship
    • Could also cosponsor with WiC and have stickers/buttons
    • Could reserve Rettner because most people bring laptops
    • Trial run: study break scratchathon? Next week, informal (Josh)
    • Keep the study break one as an on-floor event
    • Could get sponsored by MLH Localhost or Discord?

  • Constitution voting tonight:
    • Vote on all as a single amendment or as a bunch of separate amendments?

April 14th, 2019

  • New draft of the constitution needs to be sent out to floor to be voted on
    • More controversial changes have been removed to make it easier to pass the draft
    • Only potential controversial section: housing changes (but it’s important to change it now and it is a crucial change)
    • Will vote on it at the next floor meeting
  • Summer storage
    • Will find out what furniture you have to move and what you can leave in the suites
    • Should hopefully be able to store stuff in the lab again for the things we have to move
  • Need to update spreadsheet membership roster (in the google drive)
  • Receipts for formal game night and cifnic stuff
    • Should buy barbecue supplies for next year’s cifnic prep
  • Tech updates (Josh)
    • Card reader for the lab is down temporarily
    • Running low on paper (can’t poke hall council because it’s over for the year)
    • We can cover paper costs for now (could get reimbursed by RHA later)
    • More color toner (probably one batch, but could be good to get two)
    • Get $80 of paper (two things) and either $35 or $70 of ink (one or two things)
    • Seems like people are leaning towards getting two things of ink ($35)
    • Other suggestions: 8 port KVM (Josh & Austin want it) $20.78, thermal paste especially for how to build a computer tech seminar (Josh) $7
    • Total purchase amount: $143 ish
    • Board emails have been fixed; tommy may be given official access to the board email
  • Build a computer tech seminar Friday at 7 pm
    • Had to be pushed due to server updates going on

    • Check in 12-12:30, event starts at 1 and goes until 4
    • Bringing the game that I (Lucas) made from video game design last year, and probably bringing a tech director too to talk about tech things
  • CSC 171-172 review April 27th (Sunday before last day of classes)
    • Will be needing volunteers to help for it

    • Can do a joint event with ursga because they’re also doing a game night

  • Think of ideas for a study break event (was girls’ night in the past but probably want something different)

April 7th, 2019

  • Formal game night:
    • +1’s: We have not ordered the food yet so we don’t have to make changes to that
    • Josh: could draw the line at ur students who chose not to join CIF because they had that option but chose not to take it
    • Dietary restrictions and offers to bring utensils deadline Tuesday 4/9
    • With the small number of current potential +1’s it shouldn’t be an issue
    • Sticky Lips is slightly cheaper than Dino so probably going with that
    • Could get the catering with the most variety? (Austin)
    • From 2017: 4 lb pulled pork, 3 lb brisket, tray of cornbread, 3 lb mac and cheese
    • Bringing stuff is not required but you can if you want (will probably get points)
    • Will probably not be able to provide vegan options
    • For vegetarian/kosher options let Tommy know what you want in the email poll going out later tonight

    • Weather should be fine
    • Charcoal in the lab left over from last year
    • Have foil on hand to foil the grill to make sure it’s not contaminated for kosher

    • The AC keeps going off but it seems to be randomly going off now?
    • AC could be tripping the power strip and shutting itself off
    • Linus replaced with new ubuntu machine
    • RAM in all computers increased
    • Printer in the back left back online because the other one was jamming (do not overfill it with paper) (overheating seems to be causing jamming)
    • Need to get cameras and projectors set up
    • Networking team will try to come by the lab at some time
    • Lab lords should pay attention the AC to make sure it’s on
  • Pie a pi event cosponsorship
    • Send 5 people or donation of $15, pies are $3 for 1 or $5 for 2

March 31st, 2019

    • Usually we have games and cool stuff, usually people’s projects
    • Austin potentially will extract strawberry dna

  • Move build a computer tech seminar so it doesn’t conflict with family science day
    • The weeks right around it all have things going on
    • Could do it on April 19?
    • Do it as a trial run for members only and then do a full one with more hardware next year once everything is fleshed out
    • After 1 pm (maybe 3pm)
  • Tech seminar on R: Ethan, Tommy, Mike, Andrew will be speaking
    • Room reservation confirmed 1-3 (half hour on either side)
    • Gavett 208, 1:30-2:30 on Sat, April 6
  • CIFx scheduled today after board meeting
    • Ethan: natural language processing; Josh: computer parts/mechanical keyboards
  • Attendees to member-hosted events could potentially get two points for attending?
    • General consensus is not to do that
    • At CIFplays, it didn’t seem like it was necessary to give an extra point
    • People who went seemed to actually want to be there
  • Appointed positions:
    • Kitchen goddess may be granted the bonus points per month for doing well
    • Flyboy has been doing well and will be granted additional points
    • Hall council was told not to attend meetings so no extra points or consequences for that; will be granted normal points
    • Lab lords will likely be granted normal points
    • Sysadmins have not really been given anything but Lloyd will probably get normal points, Josh was not given anything to do so he will also get normal points

March 17th, 2019

  • SIH challenge purchases confirmed, can get a card from Julianne to purchase (Tommy)
  • Game night next weekend, poll for theme to be made asap and poster
    • Weekend highlights (due Wed at noon)
  • Put off tech seminar by one week to make sure people are fully prepared (30th?)
    • Should either cancel one tech seminar or make them in back to back weeks
    • Computer building tech seminar: Douglass big rooms only have weird time slots or could get cancelled in favor of bigger events; consider Harkness?
    • April 20, April 6, April 27 events? Move April 6 one to be earlier? (Tommy) or just leave them all as is (Josh)
    • Should make tech seminars that are directed towards non-cs people (maybe do one on R? for psc and stt) – could be on 30th or 6th, can ask Ethan or Andrew H to direct it on R

  • All appointed positions can gain up to one point a month based on how well they perform
    • 5 is default if you did all the work that was required of you (Tommy)
  • Must show up to the meetings you are asked to attend or you don’t get the points
    • Can let us know what meeting time works for you preferably as soon as possible before the month starts so we can plan ahead
  • Lab lord: keep the lab tidy and take trash out when necessary
  • Sysadmin: will be outlined in detail later when things are more fleshed out
  • Flyboy: pester people to get the flyers put up to ensure they’re actually put up (even if they put them all up themselves, it still counts)
  • Hall council rep: coordinate with hall council
    • Cheese tasting event cosponsor? 😮 (board approves of this suggestion)
  • Paparazzi: go to events and take pictures to send to board
  • Kitchen goddess: keep up the good work (thumbs up emoji)
  • Tech stuff: getting new network switches that should get floor up to gigabyte internet, plans for security stuff around March, DNS server changes (web services might temporarily go down during the transition period if that happens)

      • Post-meeting addition: I added some underlines to where I briefly introduce some topics to try to make it organized a bit better but conversation flow does make it difficult sometimes; let me know if there are more specific suggestions you had and if I can accommodate them I’ll try my best!
    • Please write respectful suggestions if you want us to be able to respond to them in a reasonable way; come to board meetings if you have some concerns that you feel super strongly about! We can’t reply to suggestions directly from the box but if you’re very upset about something there should be a dialogue between board and the individual so we can come up with solutions!

  • Participation point values for appointed positions:
    • Kitchen goddess: 1 for standard (extra for exceptional work, determined at the end of the semester based on monthly meetings)
    • Lab lord: 1 for standard (could increase after seeing how it goes this semester)
    • Sysadmin: 1 for standard (may change as the semester goes on, we have to see)
    • Flyboy: no points for standard; commission-style point granting
      • One point for game night flyering, one point for tech seminars? (Jason)
      • Could be on a monthly basis determined at the meeting (John)
    • Hall council rep: 2 for standard (potential for 3 if it’s done well)
    • Ideas:
      • All positions could have up to 1 point a month (Josh)
      • Don’t expect to get a point every month (Jason) – encourages people to come to the review meeting (Dan)
      • Rate from 0-1 every month for performance and tally them up at the end of the semester and round down for points granted (Lloyd) – amended previous minutes to reflect this new decision

    • Anyone can give a brief talk about an interesting tech-related thing and anyone who wants to can attend (Josh C)
    • Could expand topic to non-tech discussions as well? (Austin) – no projector to present
    • Could set up projector again (Josh C) – could use it as a jumping-off point to become a larger tech seminar if it’s interesting (Jason)
    • Could help keep people more involved (Tommy) – could get participation points for presenting one; proposed at today’s floor meeting and starting next meeting (Josh C)
    • Doesn’t need to be strictly tech related, as long as people could be interested
    • Could have a sign-up sheet during the floor meeting to give a talk after the meeting so people don’t clash trying to take the slot (Josh C)
  • Ideas for future tech seminars?
    • Could hold them on non-weekends? (Dan) – Friday might not garner much participation after a week of classes (Josh C)
    • Try to see if more people are interested in helping out besides tech directors (Josh C)
    • Could use people able to help out with Unix for tech seminars (Josh C); could send out email to find people (Lloyd is interested)
    • Suggestion box for things like tech seminars; could be a physical box in the core (Josh C)
    • Could have general box for board suggestions in general and go through it at meetings (Andrew); easier than using an online form (Josh C, Jason)
    • Good dates for tech seminars? Give at least two weeks ahead of time for flyering (Josh C) and booking the room (Andrew)

    • Zombie defense corps (ZDC): decorating the core
    • Get a second paparazzi (Josh C)
    • Let people nominate at floor meeting (Andrew); board ultimately chooses positions
    • Multiple people as lab lord (Austin); don’t grant participation points for it until after the semester to ensure that they contribute (Isabel)
    • Sysadmin: Promote someone that would already be helping to admin position; could have multiple sysadmins (Josh C) – don’t let them have access to everything (Austin) i.e. lab access, website, mailing list
    • Austin & Josh are redoing a lot of the broken systems so breaking code is not a huge worry; could just give blanket access but have sysadmins let board know before acting
    • Could be just trivial things like restart servers (Austin) – could be a slippery slope (Josh C) – will be a sort of ‘test run’ for this semester (Jason) – people in this position are ideally ex- or future tech directors anyway so there shouldn’t be much concern (Andrew)
    • Can get people now without necessarily having them do anything yet (Josh C & Isabel)
    • Rename ZDC: make sure flyers get put up (Josh C); put decorations up (Isabel); could split into two positions (Josh C)
    • Not much incentive for holding the decorations position since just decorating normally grants more points (Andrew & Josh C)
    • Flyering manager/flyboy: bonus points granted for all flyers being done 24 hrs before the event, on top of points granted for flyering themselves (Jason) – “double dip” on points so it’s granted twice (Tommy)

Floor Meeting Minutes

April 21st, 2019

  • The semester is ending so we will have to think about closing procedures soon
    • Haven’t heard anything yet but likely soon
  • Senior shirts are out with markers so you can write nice messages on them
  • Next weekend: movie night & tech seminar both on Saturday
    • Tech seminar CSC 161/171/172 2-4ish, Dewey 2-110D

    • Movie night 8 pm in the lab, poll going out soon

  • Might have a joint study break with MIF and AIF during reading period
    • Likely going to be movie night in the lab

April 7th, 2019

  • Everyone shut up
  • Formal game night and CIFnic next weekend on Saturday and Sunday
    • Email will be going out tonight about dietary restrictions
    • Also sign up sheet to bring cups, plates, etc which will award you points
    • Dietary restrictions for CIFnic will be easier to accommodate but formal game night is catered so it might be difficult to get everyone’s request
  • Nauticock award will be presented next weekend, voting will be tonight, shirts will be there to sign and senior gifts will be distributed
  • Isabel will be doing a workshop on LaTeX on Friday, April 12, 4 pm location uncertain (maybe the first floor lounge or the lab depending on attendance size), bring your laptop
  • Considering cosponsoring AEP’s event pie a pi Monday, April 22 11 am – 4 pm on wilco porch
    • Funds will be going to various charities
    • Only a few people were interested, so probably not cosponsoring but you can still go regardless
  • Clara suggested a CIFx talk “communicating your unprofessional identity”
    • Will be about empathy, apologizing, how to talk to people in general that you’re nervous or unsure about talking to, etc
    • Probably brief slideshow and small group discussion?
    • Let clara know if you are interested in this
    • A decent number of people raised their hands so it seems good to go
    • Date maybe on the 20 something but unsure as of now
  • Dining contracts are now open for people to select their dining plans
    • Deadline in late April ish
    • Same website that you submitted the housing contract on
    • Seniors can have an exemption to get declining plan D
    • If you are interested, you can email reslife to ask if you can still get an exemption or probably go to the office to ask in person because the deadline has passed
    • But only 2 people can get exemptions and we will have to see if reslife allows it

  • Polls to floor:
    • Revise housing points so transfers aren’t always fucked
      • 20 votes for yes
    • Contribution points: subset of participation points for events that help floor; members will be required to do more help-type things like flyer, hold positions, etc as well as participate in events with attendance
      • Participation point quota will be the same, the total number remains
      • If this passes, it goes into effect next school year (Fall 2019)
      • Currently being tracked but no quota set just to see how it works
      • Concerns: this could overcomplicate the system; keep bureaucracy at a minimum
      • Suggestion: could increase quota and make something like tabling worth more points because it’s more effort and less popular
      • Suggestion: make tabling mandatory because people should be contributing if they are part of this community and want it to succeed

    • Should requirement for membership involve attending at least one board meeting a year (or semester?)
      • Concerns: just attending when there aren’t any concerns isn’t really productive
      • The purpose of this is to help people decide who is a good candidate for eboard elections when it comes to voting time
      • Concerns: this is adding more rules (counterpoint: in the past, someone has been reelected when they were doing basically nothing for floor and people were unaware of that when voting)
      • Concerns: this is similar to mandating that voters be informed, and that level of control is not necessarily going to help
      • Concerns: maybe focus on new members going to a board meeting their first semester or so to know what exactly is going on

  • Constitutional amendments suggestions:
    • Nauticock award: board members will be able to win the award if they go above and beyond in ways aside from their bare minimum duties/responsibilities
    • Housing blocks: either still give an advantage for joining a group but not as huge of an advantage as previously (where they were just summed points together), or completely abolish housing blocks in housing decisions (basically free-for-all)
      • This would make it less of a popularity contest type system (where if you have more friends and can make a bigger block, you basically win)
      • Further suggestions: ranked voting (fill these rooms first, then these)
    • Further suggestions from floor: differentiate between disciplinary vs point totals types of probation
